University-Provided Cellular Services
Kennesaw State University may provide cellular service and related devices for faculty and staff when doing so supports job performance and meets specific business needs. These services are offered at the University's discretion and must represent the most appropriate and cost-effective solution.
As of July 14, 2025, the Cellular Request Form has been deactivated. All requests for cellular devices and service—including new lines, upgrades, and changes—must now be submitted and processed directly through your department. For guidance on the updated process, please contact your Budget Manager.
Be sure to review any internal department procedures before initiating a request.
Supervisor, Unit, and Department Responsibilities:
Under Cellular, Wireless Communications Devices, and Services Policy, supervisors and unit heads are responsible for evaluating whether a wireless device or service is necessary for business purposes. In accordance with university policy, the following responsibilities must be fulfilled:
- Review and Agree to the Cellular, Wireless Communications Devices, and Services Policy:

- Alternatively, you can access it by visiting the KSU Policy Portal: Navigate to the KSU Institutional Policies website, open the KSU Institutional Policy Portal, and search for Cellular, Wireless Communications Devices, and Services Policy.
- Assess Business Need:
- Review the request to determine if the cellular service/device is necessary for university business.
- Ensure the justification clearly demonstrates a legitimate business need (see Section 6b of the policy).
- Obtain Required Approvals:
- Submit the written justification to the appropriate vice president or dean for approval.
- If the request is research-related, it must also be reviewed and approved by the Chief Information Security Officer.
- Document Approvals:
- Maintain records of all approvals, including the names of the requestor, supervisor, and budget approver.
- Retain documentation in accordance with university recordkeeping practices.
- Maintain an Accurate Inventory:
- Track all university-provided devices and services, including: Assigned employees Phone numbers Device serial numbers Ensure inventories are current and readily available upon request by KSU administration.
- Monitor Usage:
- Review cellular usage monthly to confirm appropriate and business-related use.
- Discontinue Service When No Longer Needed:
- Cancel service and recover the device within 30 days when:
- The device is no longer required for business purposes.
- The employee separates from the University.

- Conduct Annual Review:
- Perform an annual evaluation of all active cellular devices, services, and service levels to ensure continued need and cost-effectiveness.
